Space Inventory Resources

The below resources offer UBC staff and consultants secure access to keyplans, building records, and spatial data for campus planning and facility management.

Records Retrieval System

The Records Retrieval System is UBC’s centralized platform for accessing and managing critical building and infrastructure records. It provides an organized, online repository where authorized UBC staff and consultants can view important documentation related to campus facilities.

Keyplans

Keyplans are derived from as-built drawings and are integrated into the Archibus facility information system to ensure accuracy and alignment with campus data.

Major record groups include:

  • Buildings: Landscaping, architectural, structural, mechanical, plumbing and electrical categories
  • Building Specifications: Operating and maintenance manuals
  • Underground Services: Gas, water, storm, sanitary and other service records

Online Spatial Information System

The Online Spatial Information System (OSIS) extends the Archibus facility information system, providing an accessible online interface for floor plans, room details and employee occupancy records.

This third-party application enables users with access to view space inventory and room amenities while maintaining a centralized database that is shared across both campuses.

Requesting Access

Access to the Records Retrieval System and Online Spatial Information System allows authorized UBC staff and consultants to view keyplans in PDF format, as well as access sector maps, board reports and a listing of available records.

Access is limited to ensure the security and integrity of UBC’s building and infrastructure information. To discuss your needs and request access to either system, please contact Facilities Planning.
